To start, let me say that I am a bit anal about two things in the world of technology; 1) single points of failure (SPOF) and 2) not following the simple 3-2-1 back up methodology that has protected businesses for years. Small business owners thrive on their constant use of ingenuity to thrive, make ends meet and plan for the future; but a single point of failure could bring down a business for days, even if correct backup procedures are in place. The inability for the small business owner to keep in mind that backup hardware must be on site if the primary source of stored data resides on a single machine with a single hard drive. Otherwise the downtime of waiting on replacement parts results in lost productivity, customer service, and eats into profit.

To resolve the concept of a Single Point of Failure, we look at distributed systems often stored in the cloud. A great tool for sharing, managing and more is the use of Microsoft SharePoint through an Office 365 Business Premium account that runs $12.50 USD/month/user. Included is Microsoft Exchange email service, 1 TB of OneDrive storage space per user, Microsoft SharePoint and more tools than we need to even mention. Also, you get all of the latest Microsoft Office desktop applications like Outlook, Word, Excel, PowerPoint, Skype for Business and more that can be installed on up to 5 devices per licensed user. By using SharePoint as the central storage for your company documents, your documents can be secured, audited for legal purposes, have workflows regarding approvals added and best of all your company documents are available anywhere an authorized employee has access to the internet. From personal experience, I can say that the Microsoft Office apps for iOS are excellent as well and can make sending a document on the go very simple. I have not tried them on Android devices, so I can't speak for them personally but I'm sure they function rather simple. My other pet peeve are company's that do not follow the 3-2-1 backup solution that has been the go to standard for business for years. It works like this 3 copies of all data, 2 versions must be on different medium (hard drive, tape, etc...), and 1 copy must be offsite (cloud, data storage company) in the event of theft or fire. We highly recommend CrashPlan for Small Business. We use it for all our data (terabytes) and most of our clients run it as well.
